Podio Instructions
How we manage projects on Podio
We use a platform called Podio for project management. We upload all documents to here and pass any messages rather than use email (as they tend to get lost in the list) so we can keep all communication and assets for the project in one place.
Everyone involved with a project has equal privileges and can add docs and comments or replies. You can also tag people with an @ sign like on Twitter (e.g. @RichardDavies) which will send a notification to that person on the project (please ensure you set your profile to receive notifications).
This is how you access and use Podio for projects.
1. We’ll set up your account
We’ll set up your project account and send you an invitation by email (see image). If you don’t receive it, please check your junk folder or clutter folder.
Click on the link that says ‘Go there now’.
2. Sign in or sign up
There is a good chance that you may not have used Podio before, so click the link that says ‘Don’t have an account? Sign up’.
3. Create your account
Fill in the email address we sent the invitiation to, your full name and choose a memorable password.
Click ‘Sign up’.
4. Find your workspace
Once you’re logged in, navigate to the top left of your desktop screen.
Click the hamburger menu (three horizontal lines).
5. Shared space
Navigate to where it says ‘Cyberfrog Design’ and click.
Then click ‘Shared with you’.
6. Your accounts
You should then see a list of accounts that you have been granted access to. This will usually be your company, or website, name.
Click the title.
7. The project page
You will then see the page that will be used for managing the development of your website. Take some time to explore the main page as it gives details of timelines, contacts, Cyberfrogs working on the project, links to things you’ll need to see and any uploaded files.
Navigate to the bottom right of your desktop monitor to send your first message.
8. Send a message
Type your message and use the ‘@’ sign to tag who the message is for. This tag will send a notification to this person.
You can also attach files to your message or add weblinks.
Click ‘Add’ to send message.
9. The message trail
Once sent, your message is added to the top of the sidebar above the comments box. Any replies from Cyberfrog will also appear here.
That’s pretty much it. This system ensures that we can all keep a track of communication and tasks whilst we complete the project.
There is also an app you can use which is available from Google Play or The App Store. Search for ‘Podio’.
